The Compliance Specialist plays a pivotal role in managing the company’s compliance-related functions, particularly in workers’ compensation, drug testing programs, and HRIS updates. This position ensures the company’s adherence to applicable federal, state, and local regulations, promotes a culture of safety and compliance, and collaborates with internal and external stakeholders to maintain best practices. The role also involves policy reviews, compliance reporting, and administrative oversight to support the organization’s legal and regulatory requirements.
Workers' Compensation:
• Manage and oversee the company’s workers' compensation program, ensuring compliance with federal and state regulations.
• Track and report all claims and ensure timely resolution in collaboration with insurance carriers and third-party administrators.
• Maintain records of workplace injuries and ensure all necessary documentation is complete and compliant with legal requirements.
• Work with managers and HR to implement safety measures aimed at reducing workplace injuries.
• Advise employees and managers on the claims process and assist with the return-to-work program.
• Partner with Workers Compensation Provider as it pertains to workplace injuries and accidents.
Random Drug Testing Administration:
• Administer and oversee the random drug testing program, ensuring adherence to applicable laws and company policies.
• Schedule and coordinate testing with approved facilities and track compliance.
• Maintain confidentiality of test results and ensure they are handled in accordance with relevant regulations and company policies.
• Monitor the effectiveness of the program and recommend changes or improvements as needed.
• Educate employees on the company’s drug testing policies and maintain proper records.
HRIS System Updates and Compliance:
• Collaborate with HR to implement updates related to compliance issues.
• Manage internal process for all employee status changes within the HRIS system.
Compliance and Policy Development:
• Stay up to date on relevant federal, state, and local regulations related to workers' compensation, drug testing, and HRIS management.
• Provide training to employees via our HRIS on compliance-related matters.
• Assist in conducting internal audits and preparing for external audits related to compliance issues.
• Manager government compliance reporting on a yearly basis.
• Partner with Safety on OSHA 300 Logs.
Administrative:
• Manage unemployment claims and responses.
• Manage requests from outside agencies.
• Intake of subpoenas
• Intake of verification of employment & wage statements and distributes to appropriate parties.
• Other tasks as assigned.
• High School diploma / GED
• Degree preferred but not required
• Bilingual Spanish/English Preferred
• 2+ years HR experience.
• 2+ years of workers compensation experience.
• Familiar with basic HR processes and programs.
• Experience managing relationships with third-party vendors such as drug testing labs, claims administrators, or HRIS platforms.
