Overview

Provides Administrative Support for our office staff and executive team. This position will multitask a variety of front office activities

Responsibilities

• Answer incoming calls and creating appropriate work orders.
• Reviewing and following up on all work orders until completion.
• Follow up phone calls with customers to ensure their satisfaction.
• Answering incoming calls, directing to appropriate department and taking messages.
• General clerical assistance for all departments to include receiving and distributing electronic faxes, copying, and scanning documents.
• Create RTV’s (return to vendor authorizations) for items being returned to vendor. Run and review open
RTV report, follow up with vendors for corrective action.
• Work with Accounting Department to resolve invoice discrepancies on purchase orders.
• Help develop SOP’s for the department and document workflows and work procedures
• Devises ways to improve customer service and client relationships
• Promotes company products and services
• Creates and maintains a directory of service providers and resources
• Assist with phone support and project reconciliation paperwork for service and installation team
• Gather detailed address information from customers and get a basic overview of the service issue to
escalate as necessary
• Assist in the training of other service employees as well as with the onboarding paperwork and workstation setup
• Coordinates travel for service and install teams as needed
• Keeps track of forklift and install equipment rentals
• Maintains all company vehicle files and assist with processing service and install personnel files
• Assists with reviewing ADP Software coding as well as timesheets and productivity
• Create weekly service matrix report
• Assist with special projects as necessary
• Other duties as assigned

Qualifications

• 2+ years administrative experience
• Bachelor’s Degree preferred
• Bilingual Spanish/English Preferred
• Extremely Proficient in MS PowerPoint, Word, Excel, MS Outlook and Internet Explorer.

Compensation

 

The pay range for this role is USD $23.16/Hr. - $28.35/Hr.  The actual salary offered is dependent on various factors including, but not limited to, location, the candidate’s combination of job-related knowledge, qualifications, skills, education, training, and experience.
